  When Housing First were looking for a new cleaner for their public housing sites, they wanted more than just a quote. They needed a provider to scope the work and recommend to them what would be required to maintain their properties to a high standard. Focused on outcome rather than time, we proposed an innovative solution to a complex cleaning challenge. Assessing the situation

Without a scope for the work, we saw this as a great opportunity to leverage our expertise and holistic approach to design a customised cleaning solution for the client.

First, we assessed the properties, looking at each property of the 35 large sites across Victoria and judging each one on its own merits. It would be complicated work, servicing apartment complexes for vulnerable and homeless people who paid subsidised rent and sometimes needed high levels of support. And the cleaning challenges were many and varied, including dealing with daily requests, human faeces, dog faeces, vomit, sharps handling, waste management and vacate cleaning.

We determined what would be needed to maintain these properties to a high standard. But first, we had to establish this standard.

An experience-based approach

As part of our submission proposal, we included a complimentary deep clean to rejuvenate the properties and establish a high standard as a minimum. We use a speciality team for this, so our regular team don’t start their day-to-day cleaning from a low base. From there, we proposed cleaning the properties multiple times a week to maintain the standard. We also recommended taking control of special and support services, like coordinating waste management with council, washing bins and microbial sanitising. Our approach was about taking care of every element required to achieve and maintain a clean, safe and healthy environment for residents.

But it wasn’t just about the work, we also considered how to best care for the residents. We proposed using the same cleaning crews, all our own employees in branded uniforms and vehicles, so residents could get to know the cleaners and feel safe when they came to visit.

Lastly, we knew tight controls needed to be in place to ensure our cleaning remained at a high standard. Along with regular reporting, we proposed conducting monthly audits on the properties to ensure we were delivering what we promised, month after month.

A successful proposal achieving results

Despite our proposal being the most expensive, and requiring the approval of additional budget, we won the tender because of the quality and value of the service we were offering.

Soon after, our new, branded fleet of fully equipped company vehicles along with our dedicated front-line team were onsite, maintaining all of Housing First’s tenancies across their property portfolio in Melbourne.
